Job Description:
Reporting to the Coordinator of Admissions & Support Systems and working as part of the Admissions team, the Admissions and International Student Records Technician performs technical admissions and student-record functions, with particular responsibility for international students, convention refugees and Quebec non-residents.
The incumbent shares in the regular activities of the Admissions team and works closely with International Education, Continuing Education, Student Services and the Records team to support the accurate and timely processing of student files. Responsibilities include admissions, immigration and residency documentation, tuition assessment, mandatory health insurance and student records, in accordance with College procedures and applicable government requirements.
International, Refugee and Quebec Non-Resident Admissions, Compliance and Student Records (Day Division, Continuing Education and RAC)
- Reviews and evaluates applications in accordance with established College and Ministry admissions criteria and determines whether requirements have been met, referring exceptional or unclear cases to the Coordinator or appropriate manager;
- Receives and verifies immigration, residency and supporting documentation, communicates established requirements to students, and follows up on missing, incomplete or expiring documents;
- Monitors required immigration and residency documentation throughout the student lifecycle and, where established requirements are not met, applies the appropriate administrative action in the student record in accordance with College procedures;
- Reviews tuition status and applicable fees for international students and Quebec non-residents;
- Administers mandatory international student health insurance, including enrolment, eligibility, RAMQ and exemptions, coverage changes, billings, refunds and related records;
- Works closely with International Education, Student Services and the Records team to coordinate student-file requirements, maintain accurate records and resolve discrepancies;
- Acts as a primary point of contact for students regarding admissions, required documentation and insurance.
Admissions (Day Division, Continuing Education and RAC)
- Participates in the regular activities of the Admissions team and shares admissions responsibilities according to operational needs and established procedures;
- Reviews and processes DEC, AEC and RAC applications in accordance with established College and Ministry admissions criteria and determines whether requirements have been met, referring exceptional or unclear cases to the Coordinator or appropriate manager;
- Prepares admissions decisions and formal responses and follows up with applicants regarding missing documentation or outstanding requirements;
- Works closely with Continuing Education staff to coordinate admissions activities, provide information to applicants and support timely processing of AEC and RAC applications.
Other related tasks which fall within the scope of the classification of this position may be assigned.

Qualifications:
- DEC in Administration with an appropriate specialty, or a DEC in Office automation with an appropriate specialty, or a diploma or attestation of studies which is recognized as equivalent.
Conditions related to the specific position:

- Ability to communicate procedures clearly and efficiently;
- Proficiency in writing work procedures;
- Ability to work with computerized pedagogical applications and databases given appropriate training;
- Knowledge of the Québec Secondary school system and college programs;
- Intermediate knowledge of Microsoft Office Excel (to be tested);
- Intermediate knowledge of Microsoft Office Word (to be tested);
- Excellent English oral and written communication skills (to be tested);
- Good French oral and written communication skills (to be tested);
- Knowledge of office procedures of Academic Systems, College policies and College Education Regulations, an asset.
