JOB SUMMARY:               Under the supervision of the Housing Services Manager, to aid in all facets of the housing operation and to act on the Manager’s behalf in their absence on matters requiring an immediate decision. 

 

DUTIES AND RESPONSIBILITIES:

  1. RESIDENCE LIFE
  • aid in selection, training, evaluation & supervision of staff;
  • develop and coordinate residence animation activities;
  • maintain a high degree of daily availability and visibility in the residence;
  • maintain close contact with the Housing staff & tenants and be open to their concerns;
  • give support to the Resident Assistants and inform the Manager should any staff member be negligent in the performance of their duties;
  • monitor the Resident Assistants during their duty hours on a weekly basis
  • tend to those staff members requiring additional support;
  • in the event of escalated issues or emergencies, make every effort to contact the Manager;
  • review log book entries and address any issues in cooperation with the Housing Manager;
  • supervision of community facilitator to ensure social committee is meeting objectives
  • establish innovative ways of delivering programming and events
  1. MAINTENANCE CONTROL
  • conduct apartment assessments every second month
  • request all work orders through OCTOPUS resulting from apartment assessments, log book and student requests
  • ensure that work orders are completed within 24 hours and follow-up with facilities manager and housing manager as required
  • maintain damage/vandalism accounts for each apartment & tenant;
  • maintain telephone & messaging service and update, as needed
  • conduct rounds of the building on a weekly basis and inform manager of any cleaning, furniture or repairs needed.
  1. ADMINISTRATION
  • support and enforce rules, regulations and policies of Housing Services;
  • consult with the Manager on policy, staff or other matters pertaining to the housing operation;
  • maintain TEPA journal and prepare TEPA entries for the Manager to authorize;
  • maintain inventory of building supplies and prepare purchase orders when necessary;
  • prepare for the arrival of new tenants (lease, welcome package);
  • attend all staff meetings and prepare weekly agenda prior to the meeting;
  • update the Off Campus Housing List in collaboration with the housing staff;
  • coordinate key supply as well as sign in/sign-out
  • act in the event of an emergency;
  • aid the manager in discipline cases as needed;
  • prepare and publicize monthly duty schedule;
  • collect student rent and other secretarial duties in the absence of other staff members;
  • general office functions;
  • perform all other related tasks and duties;
  • work closely with campus security to ensure student safety.
  • collect data to effectively measure “Student Learning Outcomes”
  1. SUMMER CONFERENCE CENTRE
  • aid in selection, training, evaluation and supervision of staff;
  • attend all staff meetings;
  • develop maintenance priorities;
  • ensure that the building is prepared for each conference group;
  • conduct cleaning audits to ensure that cleaning is being done as per the guidelines
  • coordinate each conference group;
  • maintain summer inventory;
  • maintain attendance, damages and inventory control for each conference group;
  • prepare invoices for each conference group;
  • prepare summer duty schedule;
  • examine and approve work completed by external contractors
  • liaise with other JAC conference services as needed.

 

Schedule Requirements:

September – May: 35 hours a week of regular office hours as well as on-call duties such as special events, tours, drop-ins and housing emergencies.

June-August: 35 hours a week of regular office hours depending on conference schedules as well as overtime as needed (must be able to accept flexible schedule). On call for all emergencies and unforeseen circumstances requiring management presence.

Hours: Monday to Friday 35 hours per week (flexible hours)

The technician needs to be available for emergency calls 24/7 unless they have secured time off from the Manager. Technician needs to be available for some weekends and holidays.

Exigences

QUALIFICATIONS:

 

Education:

Diploma of College studies (DEC) in Recreation & Leisure studies or Recreation DEC or a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

 

Specific Requirements:

  • Experience working with College or University Students an asset
  • Experience living in a residence community an asset
  • Experience Programming Student life, Recreational and Educational Activities an asset
  • Social Media skills an asset
  • Basic Word, Excel and Google drive
  • English - advanced oral and written
  • French - advanced oral and written comprehension, intermediate written

 

Testing may be required to demonstrate knowledge of languages.
