Reporting to the Dean of Academic Systems, the Assistant Registrar is responsible for the direct supervision and day to day operations of the Registrar’s Office. The manager is responsible for the operation and development of Student Information Systems and for providing appropriate support to the academic administration in the pursuit of the goals of the College’s strategic plan.
Specifically:
• Plans, schedules and coordinates the day-to-day activities of Registrariat staff, including hiring, training, supervision and evaluation;
• Collaborates in the development, implementation and evaluation of policies, regulations, procedures, work plan development and budget and staffing;
• Evaluates and analyzes the effectiveness of current practices and procedures and make recommendations for process improvement;
• Responsible for all aspects of Student Information Systems (Clara, Omnivox, SRIC and other related software) and liaison with Information Technology Services
• Responsible for the development, creation and formatting of reports;
• Plans, organizes and supervises all aspects related to Registration for both Day, Continuing Education and Summer School;
• Provides timely and accurate enrolment data and assists with the preparation of enrolment projections and enrolment trends;
• Analyzes and interprets MESRST directives and ensure compliance;
• Responsible for the accurate collection, verification and transmission of all student data and validates MESRST reports in preparation for signing;
• Participates on internal and external committees as requested;
• Performs other related tasks as required;
Qualificatons:
• Bachelor’s degree with a specialization appropriate to the employment and three (3) years of relevant experience
• Knowledge of Quebec post-secondary education
• Highly organized, detail oriented, creative and able to lead and motivate teams
• Experience in the development and implementation of computer systems
• Ability to coordinate simultaneous projects and to produce results by established deadlines
• Superior interpersonal skills and discretion
Testing may be required to demonstrate proficiency in and knowledge of the following:
• Fluency in English – oral and written
• Conversational & comprehension French and Intermediate written French
• SQL
• Excel – Intermediate / advanced
• Word – Basic
• Access – Intermediate
